An employee stealing company property is a very serious issue and needs to handled very professionally. The following steps are traditionally followed in such cases.
1. Thorough Investigation: The first step is to investigate the employee who is suspected of stealing.No action should be taken before proper investigation. Video evidence, statement of fellow employees, any other physical evidence has to be collected. In some cases, a 3rd party may be hired for carrying out the investigations. All such evidence that is gathered has to be properly documented.
2. Discussion with the employee: After confirming the theft from the investigations, a discussion is required between the employee, his manager and HR manager. Any other person whom the company feels is required, may also join the discussion. Through this discussion, the employee should be made aware of the situation. It is important to understand the purpose of the theft through the discussion. The theft could be intentional or non-intentional or due to some other reason. The employee should be then made aware of the serious consequences of his action.
3. Evaluating the situation and severity of the theft: A thorough assessment needs to made of the situation and severity of the theft. The employee’s previous record, integrity should be considered before taking any major step. The future actions may be a strong disciplinary action, providing consultation to the employee, or even termination and legal action. The action would be taken on a case by case basis and may differ for different employees.
4. Supervising the employee: Any employee who has been found guilty of stealing has to be monitored closely. This is true for all cases, ie if the employee is being terminated, or a disciplinary action is taken against him, or he is being counselled. In all scenarios, the employee’s actions and behaviour have to carefully supervised.
5. Preventing future thefts: Stringent background checks have to be done for each employee. On joining the company, all employees have to be made clear about the company policies clearly mentioning no tolerance against theft.
